ProcessMaker IDP organizes all documents into a hierarchical structure consisting of dossiers, folders, and documents.

  • Root Folders: Dossiers act as the primary root folders within this hierarchy.

  • Hierarchical Structure: Each dossier can contain multiple folders. Each folder can, in turn, contain additional subfolders, creating a nested structure.

  • Document Storage: Documents can be stored within any dossier or subfolder. Document names within a folder must be unique, meaning users cannot upload documents with identical names into the same folder.

Create Folders and Subfolders

Watch the following product tour to learn how to create folders and upload documents.

Folder Logo

A logo can be added to a dossier to visually differentiate your dossiers. The logo will appear on the dossier page, in the opened dossier tab, and in search results.

For best results, it is recommended to use a transparent, square logo in PNG format.

Follow these steps to add a logo to your dossier:

  1. Click on a dossier to open it.

  2. Edit the Logo property to add a logo for the dossier.

Upload Documents

Follow these steps to upload a document to a dossier or a folder:

  1. Click on a dossier or folder to open it.

  2. Drag an drop a document in the opened dossier or folder.

  3. Alternatively, from the Dossier ->Folder Actions menu, select Add Documents.

  4. From the upload dialog, select one or more documents.

  5. From the Document Type settings, select one of the available types.

  6. Select the Email Notification option to receive an email when this document has been processed.

  • You can upload any media type to IDP. However, certain media types can be excluded if needed.

  • Display or preview is only supported for PDFs, images, and text files.

Search for Files and Folders

Use the search bar in folders to find files within that folder and its sub-folders.

Follow these steps to search for files:

  1. By default, the search runs based on the file name. To search by a different attribute, select it from the attributes list.

  2. Enter the text you want to search for and press Enter. Alternatively, click the Filter button to run the search and view files matching the criteria.

  3. Click Clear to remove the filter and view all files in the folder.

Click the icon to view information about the dossier.

Locate the search bar under the folder name. This is a standard file search, different from the

Elastic Search.
