Overview

The FAFSA Job Scheduling & Monitoring solution automates the processing of Institutional Student Information Record (ISIR) files for Ellucian Banner users, streamlining how these files are managed from delivery to job execution. ISIR files are typically received from the U.S. Department of Education via the SAIG Mailbox and then stored in institutional systems such as SFTP servers, Amazon S3, Google Drive, or other Document Management Systems.

Traditionally, staff must manually retrieve, organize, and upload these files into Banner. This solution replaces these manual steps by serving as an intelligent scheduling and integration layer between storage systems and Banner. It automates:

  • File detection across storage systems

  • Banner job initiation

  • Performance monitoring and log tracking

As a result, institutions gain improved efficiency, enhanced transparency, and scalable automation across Financial Aid operations.

Benefits

  • End-to-End Automation: Automates ISIR file intake, Banner job triggering, and log retrieval without user intervention.

  • Configurable Job Scheduling: Supports hourly, daily, or custom intervals for polling file repositories, ensuring timely processing.

  • Multi-Source File Integration: Compatible with a variety of storage platforms (S3, SFTP, Drive, DMS), enabling flexible intake strategies.

  • Real-Time Monitoring Dashboards: Displays key metrics such as job status, durations, retries, and queue delays for operational visibility.

  • Empowered Stakeholders: Reduces reliance on IT for status updates and allows Financial Aid teams to track progress independently.

Features and Functionality

1

Automated File Detection

At configurable intervals, the system scans pre-defined file repositories (S3, SFTP, Google Drive, DMS, etc.) for newly available ISIR files.

2

Download and Preparation

Once detected, files are securely downloaded into a controlled environment. Metadata is recorded for traceability and auditing.

3

Upload to Banner

The system initiates a file transfer to Banner, triggering the import process without requiring manual input.

4

Job Creation and Execution

The correct Banner job is automatically launched for each file, with detailed metadata captured (e.g., job ID, status, duration).

5

Log Retrieval and Tracking

Post-execution, job logs are retrieved, parsed, and stored to support error analysis, compliance, and historical review.

6

Dashboard Monitoring

An intuitive dashboard presents real-time insights into:

  • Job success/failure rates

  • Processing time per file

  • Retry counts and error categories

  • Queue wait times and trends
